GARAFORCEContractor Scheduling Software — Dispatch Crews in Minutes
Most contractors still schedule work in a spreadsheet, a group chat and a phone call. GARAFORCE replaces that with one board: every job, every crew, every hour — visible, assignable and documented. It runs in the browser on desktop and on any phone, so nothing needs to be installed on a technician's device.
Why scheduling breaks on a job site
Scheduling failures rarely start in the office. They start when a job runs long, a part is missing, or a customer is not home — and nobody downstream finds out until the next crew is already parked outside.
- Jobs are assigned by phone, so there is no record of who agreed to what
- Reschedules never reach the crew that was already dispatched
- Travel time is invisible, so the day is planned as if the drive takes zero minutes
- Nobody can prove when a crew arrived, what they did, or when they left
- The office rebuilds the same schedule every morning from scratch
How GARAFORCE schedules contractor work
GARAFORCE treats a job as a lifecycle, not a calendar entry. Each job carries its customer, address, scope, parts, assigned crew and evidence from intake through sign-off.
- Drag-and-drop day, week and crew views with conflict detection
- Automatic assignment suggestions based on location, availability and skill
- GPS routing with a live ETA the customer can see
- Recurring and multi-day jobs for maintenance contracts
- Reschedules push instantly to the assigned crew's phone
Proof of work built into the schedule
Every completed job carries its own evidence file: guided photos, GPS coordinates, arrival and departure timestamps, notes and a customer signature. Each record is sealed with a SHA-256 hash through GARAPROOF, so the log cannot be altered after the fact.
- Guided photo capture so crews document the right thing, once
- On-site digital customer signature
- Automatic arrival and departure timestamps
- Branded daily report generated for the office and the customer
Who uses it
GARAFORCE is built for contracting businesses that send people to addresses — from a two-van operation to a multi-crew regional company.
- General and specialty contractors
- Electrical, HVAC and plumbing services
- Renovation, restoration and maintenance companies
- Facility and property management teams
- Service networks and warranty providers
Spreadsheet scheduling vs GARAFORCE
Most contracting businesses do not lack a schedule — they lack one shared, current version of it. This is what changes when the schedule moves off a spreadsheet and a group chat.
| Spreadsheet + phone + group chat | GARAFORCE | |
|---|---|---|
| Building the day | Rebuilt manually each morning, usually by one person | Carries over automatically; recurring work is already placed |
| Assigning a job | Phone call or message with no record of the agreement | Assigned on the board, acknowledged on the crew's phone |
| Travel time | Estimated from memory, rarely accurate | Calculated by GPS routing between consecutive jobs |
| Reschedules | Reach whoever happens to read the message | Pushed to every assigned crew member instantly |
| Proof of the visit | Photos scattered across personal phones | Attached to the job with GPS, timestamps and a signature |
| Disputed work | Argued from memory weeks later | Resolved from a sealed, tamper-evident job record |
| Invoicing | Re-typed from notes into a separate system | Generated from the parts and labor logged on site |
How a job moves through GARAFORCE
One record carries the job from the first call to the closed invoice. Nothing is re-entered between stages.
- 1Intake
The customer, address, scope and priority are captured once — from a phone call, a form or an existing customer record.
- 2Schedule
The job is placed on the board. GARAFORCE suggests a crew based on location, availability and required skill, and flags conflicts before you confirm.
- 3Dispatch
The assigned crew receives the job, the route and the scope on their phone. The customer can be sent a live ETA link.
- 4Document on site
Guided capture prompts for the photos this job type requires. Arrival, departure, parts, labor and notes are logged as the work happens.
- 5Sign off
The customer signs on the device. The job cannot close until its required evidence is attached.
- 6Seal and invoice
The record is sealed with a SHA-256 hash so it cannot be altered afterwards, and the invoice is generated from what was logged.
Example: a Tuesday with three crews
An illustrative day for a contracting business running three two-person crews across a metro area. The figures below describe how the workflow behaves, not measured results from a specific customer.
- 07:10
The board opens with yesterday's carry-over and today's recurring maintenance already placed. The dispatcher only fills the gaps.
- 09:40
An emergency call comes in. The board shows Crew B is eleven minutes away and free after 10:15; inserting the job shows which afternoon visit slips.
- 11:05
Crew A finds the site locked. They mark it on the phone with a timestamped photo; the office sees it immediately and reschedules without a phone call.
- 14:20
A customer calls to ask where the technician is. The dispatcher sends the live ETA link instead of radioing the crew.
- 17:30
All three crews close their last job with photos and signatures. The daily report is generated automatically.
- Three weeks later
A customer disputes what was done on the 11:05 visit. The sealed record shows the arrival time, the locked gate photo and the reschedule.
The change is not that fewer things go wrong — a locked site and an emergency call are normal. The change is that each one is handled in the system, in the moment, and leaves a record that settles the question later.
Frequently asked questions
What is contractor scheduling software?
Contractor scheduling software assigns jobs to crews, plans the route and order of a working day, and tracks each job to completion. GARAFORCE adds field documentation, so the finished job also carries photos, GPS, timestamps and a customer signature.
Do crews need to install an app?
No. GARAFORCE runs as a responsive web app and can be added to a phone's home screen like a native app. Crews use their own devices with no app store download.
Can it handle recurring maintenance contracts?
Yes. Jobs can repeat on a schedule, span multiple days, and roll forward automatically while keeping each visit's evidence separate.
Does GARAFORCE replace a licensed inspector or appraiser?
No. GARAFORCE is an operational scheduling and documentation tool. It records what happened on site; it does not issue professional opinions or certified valuations.
